How to Use QuickBooks Form 941 Effectively

If you own a business and have employees, you have to send form 941 to the IRS (Internal Revenue Service) every three months. This form is used to let the IRS know how much income tax, Social Security tax, and Medicare tax was taken out of an employee's paycheck. When users try to fill out form 941 in QuickBooks, they sometimes get an error that tells them to re-e-file the form and shows that the amount is more than $2500. What Causes the QuickBooks Form 941 Error?

The only time you can't make a Form 941 is if you have to pay more than $2500 in taxes in a quarter. If you owe more than $2500 in taxes for a quarter, the IRS will ask you to fill out Form 941. Solution to Fix Error Printing 941 Form in QuickBooks

If you get an error when you try to print Federal Form QuickBooks form 941 it could be because the filing method is set up wrong. Follow the steps below to get rid of the problem.

 

Solution 1: Check the method of filing again.

 

  • Open QuickBooks, and then click Payroll Tax Forms & W-2s under the Employees tab.

  • Select Process Payroll Forms, and then click Change Filing Method from the Other Activities section under the File Forms tab.

  • Follow the on-screen instructions and click "Continue."

  • Choose Form 941 from the list and click the "Edit" button.

  • Now, in the "Filing Method" drop-down menu, click "Print and mail."

  • Click "Finish," then try sending the form again.

 

If the problem has been fixed, go to the Electronic Federal Tax Payment System and send your payment form to the IRS directly.

 

Solution 2: Keep QuickBooks Payroll up-to-date.

Try to print the tax forms again after updating QuickBooks payroll.

 

  • Go to the Employees tab in QuickBooks Desktop and click Payroll Tax Forms and W-2s.

  • Now, click Process Payroll Forms, and then click the File Forms tab under Payroll Center.

  • Now, pick the form you need to turn in.

  • Click File Form and choose the time period for filing the form.

  • Click OK and click Check for Errors.

  • Look over the form and fix any mistakes you find.

  • Now, click Submit Form and then click E-File.

  • Follow the steps shown on the screen and send in the form.
