 E-MAIL WRITING

Introduction- E-Mail is a way of sending messages & data by means of computers connected together in a network. It is a short form for ‘electronic mail’. It has developed to be one of the most popular & preferred means of communication. E-Mail has definite advantages over letter writing or other regular mails. It is faster, inexpensive & easier way of communication than the conventional methods. We can’t imagine modern way of living without e-mail or the Internet. It is delivered instantly & received within a few second just by the click of a button.Like the conventional letter writing, E-mails can be formal as well as informal. Formal E-mails are used to convey official & formal communications. However, informal e-mails are personal communication between acquaintances, friends & relatives.

Email's earliest development began in the 1960s, but at first users could send e-mail only to other users of the same computer. Some systems also supported a form of instant messaging, where sender and receiver needed to be online simultaneously. The history of modern Internet email services reaches back to the early ARPANET, with standards for encoding email messages published as early as 1973 (RFC 561). An email message sent in the early 1970s is similar to a basic email sent today. Ray Tomlinson is credited as the inventor of networked email; in 1971, he developed the first system able to send mail between users on different hosts across the ARPANET, using the @ sign to link the user name with a destination server.

E-mail messages consist of two major sections:

1. Header consisting of- subject, sender, receiver, date & time.

2. Body contains the message. It can be a formal/ informal text depending on the purpose.We should keep in mind the following points while composing e-mails.

Subject- It should be brief. It should give a clue to the content of the message. It need not be a complete message.

Salutation- Dear Sir/Madam/ first name of the person.

Opening statement- Begin with a pleasantry or greeting. When replying to a message, always use : Thank you for your message/ I received your message.

Clarity & tone- When we expect a reply, we should use: ‘Please let me know’. When we want help, we should use: ‘Please’ or ‘Kindly’.

Paragraphs- each main idea should be in a separate paragraph, making it easy for the reader to understand the message. We should complete sentences.Complimentary close- Regards & name. You initiated a transaction of a sum of Rs 1000/ on an SBI ATM the other day. However, the sum got debited from your account but no cash was dispensed. Write an e-mail to the Customer Care Representative of SBI, requesting him/her to do the needful.

Dear Sir/Madam,

This is with reference to an unsuccessful transaction drawn on an SBI ATM (ATM No- 3476) on 

3.3.2022 at SB Garai Road, initiating the withdrawal of a sum of Rs 1000/. However, the mentioned sum got deducted from my account although no cash was dispensed from the ATM Machine.

I, therefore, request you to initiate refund of the deducted sum at your earliest & oblige me thereby.
