Switching QuickBooks Desktop to Online is a difficult process to follow. But to help you out in this situation, we are here with a complete guide; follow each step carefully:

 

Step 1: Get the QB Desktop

  • As you are using QBO, you may not have QB Desktop. If so, first download and install QuickBooks Desktop.

  • Now, open the recently downloaded program.

  • Click on the File menu and close Company further. Move further with the steps below, and keep the QB Desktop open until the process.

Step 2: Sign in to QB Online and Get the Migration Tool

  • Open QuickBooks Online and sign in to it using Intuit’s login credentials in the supported browsers. 

  • Now select the QB Online URL, and after /app/ replace the rest of the link with export the link will read as https://cxx.qbo.intuit.com/app/export, further hit Enter. While working on this process, other tasks will remain responding.

  • Click on Export Overview and read it, or either take a print of it. Move further after clicking on Get Started.

  • Click on the Download Tool option and get the QuickBooks Data Migration tool. 

  • When downloading, launch and install the migration tool and hit Next. 

  • Now, agree with the terms and conditions in the agreement further, hit Next.

  • From the type of setup, select Complete and Next.

  • Finally, finish the installation process.

 

Step 3: Prepare the File to Export and Choose the QBO Data

  • First, move to the first step in the preparation to export window and click Continue. 

  • Select the data you want to export; it may include all the transactions and lists, or either just balances and lists and hit Continue.

  • Now, QB will ask to enter your email address to confirm the data migration via email. Enter the same and hit Select.

  • You’ll be prompted to prepare an export page and continue.

  • Further, from the Prepare to Export page and continue.

  • Now, you need to download the data import file, QBXML. So select the option Download QBXML file. Save the file from a prompt page and continue.

  • Return to the No Company screen in QBD and select the file to export. When done, verify if the data is secure or not.  

 

Step 4: Use the QB Migration Tool 

  • Above, we have kept QB Desktop open to the No Company screen, ensuring it is still open on the same screen.

  • Now open the QB data migration tool, which we have downloaded above.

  • Follow the downloaded QBXML file path, open it, and select Import. 

  • Now, find the location to save the QB Desktop file and name for it. 

  • QuickBooks Desktop - Application Certificate. It may be hidden behind the screens. Select Continue and Done on the confirmation screen. 

  • Done when your data has been exported successfully. 

 

Step 5: Check the Exported Data,

  • Use a profit and loss report to make sure your books match. Run one in QBO and one in Desktop to match their data. If everything looks fine, you are successfully converting QB Online to Desktop.
